Course 1 - Warehouse Operations Management
Audience: This course is currently restricted to participants directly funded by PEPFAR / SCMS and participation is by invitation only.
1. Course objectives
- Provide warehouse managers with skills in warehouse planning and
management, and to teach how to apply those skills in their own
country.
- Provide practical tools to managers to improve their level of
performance.
- The interchange of skills and experience amongst course members
is essential for training activities and learning.
2. Course design
The course lasts for 4 weeks and consists of presentations, discussions, activities,
field trips and practical experience in the warehouse.
3. Course Dates
Two courses as shown below are planned to be conducted in this year.
- 22 February – 19 March 2010
- 03 – 28 May 2010
- 16 August – 10 September 2010
- 04 – 29 October 2010
- 08 November – 03 December 2010
4. Course overview
Module 1 Warehouse Design &
Capacity
AIM: At the end of this
module participants will have an understanding of the Characteristics
of a good warehouse and warehouse site selection. They will have an
understanding of what a distribution system and distribution cycle
is within the distribution network. They will have discussed the challenges
of warehousing and quality management in the warehouse.
Module 2 Introduction to Situation
Analysis & Decision making process
AIM: At the end of this
module participants should be able to list the main steps of planning
a project, explain the main steps of a situation analysis and use
a decision matrix to rank problems. They should be able to identify
their most important challenge / problem and use a problem analysis
diagram for their most important challenge. They should be able to
identify the main objective of a plan to be able to meet a challenge.
Participants should list possible approaches to achieve the main objective
and write a step-by-step plan, including a budget and time line.
Module 3 Challenges of Warehousing
AIM:
At the end of this module participants will have a better understanding
of challenges experienced in a warehouse setting, for e.g. Security,
Communication, Organizational problems, Customer relation difficulties,
Supplier reliability and Human Resource issues. They will also have
a better understanding of Key Performance Indicators (KPI’s)
Module 4 Quality Management
in the Warehouse & SOP’s
AIM: At the end of this
module participants will have a clearer understanding of Quality Management
and a better understanding of Quality Manuals and Standard Operation
Procedures (SOP’s)
Module 5 Human Resources for
Warehouse
AIM: At the end of this
module participants will have discussed the importance of human resources
(HR) in the management of warehouse operations. They will understand
the role, functions and various categories of warehouse workers. They
will know what personnel management tools are, how the performance
appraisal process works and how to determine personnel needs.
Module 6 Receiving Management
AIM: At the end of this
module participants will know what tasks, activities and functions
relating to receiving stock is and the resources needed to accomplish
various tasks will have been discussed as well as related safety and
security issues. The stepwise approach to reception as well as the
material and equipment for reception will have been described to them.
Module 7 Storage Management
& Special Requirements
AIM: At the end of this
module the principles, tasks and functions involving the storage of
products would have been described to participants and they will have
discussed the resources needed to accomplish the various tasks. Forms,
material and equipment for storage would have been described to them.
Related safety and security issues would have been discussed and the
role of storage personnel explained.
Module 8 Inventory Control
Management
AIM: At the end of this
module participants will understand the 2 factors which are relevant
in defining the context in which an inventory management system operates
and they will understand stock classification, the selection of items
and factors to consider in calculating reorder quality.
Module 9 Distribution Management
AIM: At the end of this
module the objective of a distribution system will have been described
to participants. They will have discussed the elements of a distribution
system and good distribution practices code. The human resources needed
for distribution and their training needs will have been described
as well as the planning of a distribution system. They will have discussed
the ways to minimize loss and to maintain the quality of products
during the distribution process. They will also access whether delivery
/ transport should be done internally or contracted out.
Module 10 Physical Controls
in the Warehouse
AIM: At the end of this
module the participants will understand what happens to medicines
which are stored under adverse conditions. They will have discussed
factors that cause damage to medicines. The design of a medicine storage
facility to provide best possible conditions will have been outlined.
They aspect of physical control e.g. Control of Temperature, Humidity
and Sunlight, Pest Control, Rodent Control, Cleaning inspections and
Fire precautions will have been discussed in detail.
Module 11 Safety in the Warehouse
AIM:
In this module the rationale for safety management in the warehouse
will have been described to the participants as well as common potential
warehouse hazards and the safety precautions and procedures that are
important to warehouse safety. Tasks that could cause and safety rules
that could lead to fewer accidents and near-misses in the warehouse
will be discussed as well as various types of hazards found in workplaces
including the warehouse.
Module 12 Supervision &
Responsibility in the Warehouse
AIM: In this module the
importance of supervision and good relationships in the management
of warehouse operations will have been highlighted to participants.
The functions of the management and its role in achieving excellent
services will have been discussed and the concept of customer service
and delegation explained.
Module 13 Procurement Planning
Aim: This module addresses
issues in procurement planning and scheduling. Poor planning and scheduling
can result in delays in the supply chain and shortages for patients.
At the end of this module participants will be able to describe the
steps of the procurement cycle and the need for planning procurement.
They will be able to identify the steps of the procurement process
in their program, and have a notion of the time required for a procurement
cycle.
